Board of Directors Meeting Minutes

Meeting called to order at 9:03 AM


Roll Call:


Board Members Present: Tracy Mulveny, Ray Glick, Eric Van Gilder, Bob Gibson, Norma Morrison, Val Cloutier, Robert Perri, Dave Bernheisel, Brook Hedge, Sue Townsend and Elaine Simmerman

Committee Chairpersons and Guests: Tom Wrubel, Al Klineburger and John Joyce


Secretary’s Report:


November minutes approved as submitted.  Motion by Eric Van Guilder and seconded by Norma Morrison.


Treasurer’s Report:


Financial report received by members via e-mail.  Eric asked committee chairpersons to submit ideas on how to increase funds (make some money) with their budgets for 2014.  Al Klineburger should submit a budget for the Monomoy restoration.  Eric asked Al if capitol expenses would go beyond 2014.  Al didn’t think so. Bob Gibson needs to submit an outreach budget.  Eric suggested getting a credit card for Overfalls use.  It was felt this had too much potential to become a problem. Brook Hedge suggested a prepaid card (i.e. VISA) as a safe alternative.


Current issues for discussion:


Update on the Monomoy Boat:                                Al Klineburger made a presentation about the restoration of the Monomoy Life Boat.  He would like to use this presentation to help raise funds for new oars for the boat.  Oars are $450 each.  He wants to coordinate fund raising since we will be approaching the same donors for funding.  He wants to be able to use this presentation to present to different groups in the area.


Elaine commented on Al’s enthusiasm.  The Cape Henlopen Physical Education Department would like to participate in using the boat with their students.  Both LYC Foundation and Longwood Gardens Foundation have supported us for this purpose. Al suggested exhibiting the boat at Ft. Miles and in the parking lots of venders who have supported us to spread the Overfalls story.


Ray Glick, Brook Hedge, Elaine Simmerman and Tracy Mulveny have offered to donate oars.

Brook suggested making a movie of the presentation to put on the web site, You-Tube and Facebook.

Dave Bernheisel has prepared a summary of progress report for the Longwood Foundation.


Curator’s Report:             Ray has sent a numbers of pictures of artifacts to members of the board to show the extent of what we have.  He would like to start a program to adopt an artifact.  This will be a way to involve more people in the Overfalls.  We now have a controlled environment storage facility rented.  We also need to fund professional restoration of some artifacts.  A lot of items came from the Lightship Sailors Association.  The Overfalls is a “working boat with working people”.  Brook Hedge will be helping with professional photos of artifacts.  A possibility would be to have “an artifact of the month” on the web site.


It was suggested to have an official opening event for the new museum.  It was decided to set aside June 4, at 2 pm for the event and to invite state and local officials.


Activity schedule for 2014:  Al Klineburger has agreed to do his Monomoy Presentation at the January Membership meeting.


SMA Conference in February 2014:  Tracy and Ray are planning to attend the conference.  Tracy would like to have one or two more delegates attend.  There is another conference in Washington D. C. in February, Small Museum Advocacy Day.


New Business:


Web Site Management Policies:              Who does Tom Wrubel respond to for changes to the web site?  Tracy must approve all content.  Send any contribution to her completed as you want them presented on the web site.  Same procedure is to be followed for press releases.


Review of 5 Year Plan: 


                Ask Bill Reader to prepare a written 5 year Maintenance Plan.  Expand ship’s guide manual to include the Stephanie Ann Museum and the Monomoy Life Boat.  Encourage ventures with LHS on the boathouse.  Set up and man “ship’s science demonstrations” for LCFP Events and other appropriate times.  Having it available for school trip tours out useful.  We should have an official speaker group.  It was suggested we have ship’s guides that might be interested.  Need to look for ways to get more student involvement.

                Review the 5 years plan and send your comments and changes to Bob Gibson to compile them for future discussion.
